We always apply ‘data minimisation principles’ which means that we only collect the amount of data that we need to operate our business. Usually, this is just your name, job title and your email address.

Supplying you with Product and Services:
 

When you contact us to make an enquiry or purchase our products or services, we use your contact details to fulfil the order to you. This includes handling invoices and payments. This is based on either the ability to enter into a contract with you (for individual customers) or to further our legitimate business interests (if you are a corporate buyer). The majority of our customers fall into the latter category as we mainly operated on a ‘Business to Business’ basis. When we invoice for our services we will retain that data for the legally stipulated timeframe (7 years).

Sending Marketing Communications: 


We use email addresses to send you updates, either based on your consent or under a ‘soft opt-in’ (in line with the Privacy and Electronic Communications Regulations – PECR), when you have provided your email as part of an ongoing relationship with us. You can unsubscribe at any time by contacting us or using the link provided in our emails.

For Corporate contacts, we may send useful information by email, based on our legitimate business interests. You can unsubscribe at any time via the link provided in our emails.

Other Enquiries: 


If you contact us via email, phone, or social media (such as LinkedIn) with questions or feedback, we will use your details to respond, based on the legitimate interests of both parties.

We may share your personal data with a small number of third parties who provide services on our behalf, including invoicing, payment processing, and our internal communication systems. These organisations act as ‘Data Processors’ and are contractually obligated to protect your information.

Our processors include Sage Line 50 (for invoicing), Microsoft 365 (for general business support), Dunelm Digital for our website and outsourced bookkeeping and Slack for our internal communications. Our CRM database is hosted on our own dedicated server in the UK.

If we process your data based on your consent (which is rare) then you may withdraw that consent at any time by contacting us. The vast majority of our interactions are based on our mutual legitimate interests. We do not send many broadcast emails but if we do, they will generally be to update you about products or services. They will always include an unsubscribe option which is easy to use.

We retain your personal data only for as long as necessary, based on legal requirements or our practical business needs. Once the retention period expires, we securely delete the relevant data, unless legally required to retain it for longer.
